Were you assigned to make company wide disclaimer or email signature – that would apply to all employees?
There are ways in MS Exchange to make a company wide disclaimer via scripting but you very limited.
There are spam filters that also support making disclaimers, but again, you are very limited.
CodeTwo is a company that has several excellent solutions, most of them ar for Exchange and Codetwo Exchange Rules 2010 is one of them.
I had to do 3 different disclaimers for 3 different groups and one unified Signature.
With Exchange Rules this can be done easily.
Exchange Rules 2010 is installed on Exchange server. Application looks nice and it’s very simple to understand.
You start by creating new rule.
Select scope of sender, that means users that are affected by this rule, best thing is that you can select either individual users, AD Group or even OU among the others.
The same applies to recipients policy. Individual users, email addresses, AD Groups, AD OU…. You can really tailor rule to your needs.
Triggering suppressing can be used if you have more complex needs, let’s say that you want special disclaimer added if Financial report is used in content. Also you may want to skip disclaimer if Dear John is used in the content.
Signature / Disclaimer template is used for editing template.
Exchange rules has Html editor built in, designing template is very simple, you can do everything with WYSIWYG editor.
When you are designing company wide signature you can insert AD fields like Name, Surname, Company, Telephone, picture even… You only have to create one template and then AD fields are populated with real data straight from AD, you don’t have to worry again to remind employees that they need to change signature if they change their surname – all taken care of.
You can also schedule signature/disclaimer, let’s say you will be running promotion for new product in a time range of 2 months, you can add new rule for that time period. And when you finish with promotion, signature will be disabled automatically.
If this rule is like a master signature you can easily stop processing the rest of the rules, or you can set that in case this rule is not applied, it can process next one.
In order to test new rule, you can use rule tester, it saves you some time since you don’t have switch to your mail client, send email and check the email and then go back to Exchange rules. It shows you how email will look.
While the product is very solid, it’s also the price that makes this product really attractive. Unlike competing products where you can easily spend thousands of US Dollars it’s priced in affordable fashion 🙂
Pricing example: 500 users = US$ 1295 and support is US$ 295; 150 users US$ 695 and support US$ 139.
